Draft: items marked [TBC] are awaiting confirmation.

Last updated: 29 October 2026

faceOS ("faceOS", "we", "us") provides AI digital avatars on holobox devices (21" and 7 ft) and 2D tabletop machines, for rental and purchase in the UAE, with GCC delivery available on request. This policy explains what personal data we collect, why, and the choices you have.

faceOS is operated by [TBC: full registered legal entity name, legal form (e.g. LLC/FZE) and registered address] — referred to in this policy as "faceOS."

Information We Collect

Website forms. When you use our contact, quote, rental enquiry, or "book a demo" forms, we collect the details you submit — typically your name, email, company, phone number, and message.

Face recognition on our devices. Our holobox and tabletop devices can use face recognition to personalise an interaction (for example, recognising a returning visitor). This feature is opt-in only — it is not active unless you choose to use it.

Website chat. If you use the chat on our website, we collect what you type or say in the conversation, your name and mobile number if you give them, and the page address, referring page, and campaign (UTM) tags linked to your visit. We use them to answer your question, follow up on your enquiry, and understand which pages and campaigns bring visitors to the chat.

We do not use advertising cookies and do not track you across other websites (see "Cookies and Analytics" below).

How We Use Your Information

We use the information submitted through our website forms only to respond to your enquiry — for example, to send a quote, arrange a rental, or schedule a demo. We do not use it for unrelated marketing without your consent.

Face recognition data collected on our devices is used only to deliver the personalised experience you opted into.

Who We Share It With

Our website forms are delivered by a hosted form service, which processes your submission on our behalf and emails it to our team. [TBC: name of the form-service processor, if we want to disclose it.] This provider does not use your data for its own purposes.

The chat on our website is provided by a hosted chat service, and the voice and avatar you see when you talk to our AI host are provided by a separate avatar service; both process your conversation on our behalf. [TBC: names of the chat and avatar providers, if we want to disclose them.]

Our WhatsApp contact link opens the WhatsApp application; conversations you start there are also subject to Meta's own WhatsApp terms and privacy policy.

Google processes our analytics data (Google Analytics) on our behalf — see "Cookies and Analytics" below.

We do not sell your personal data.

Website Chat and Voice

Every page on our website has a chat window. Nothing from a conversation is collected until you open it; loading the chat window lets the chat service see your browser's technical details (such as its IP address), as any website does.

During the conversation, the chat or our AI host may ask for your name and mobile number; you give them yourself.

Voice with our AI host. If you press the "Meet Our AI Host" button and allow microphone access in your browser, your voice is streamed to the avatar service, which turns it into text, generates a response, and shows it through the avatar's face. The chat service keeps the text of the conversation (the transcript) so our team can follow up with you. The chat never uses your camera. If you would rather not use voice, you can type instead.

You can turn the microphone off in the chat at any time, and end the conversation with the end button. You can also ask us to delete a conversation — see "Your Choices and Rights" below. Chat transcripts are kept as set out in "Data Retention" below.

Cookies and Analytics

Our website uses Umami, an open-source analytics tool that we host ourselves on our own server. It does not use cookies and does not store your IP address, so it does not track you across other sites or share data with any third party. It records page views, the page that referred you, your browser, operating system and device type, your screen size, your browser language, your approximate location (country, region and city), and certain button clicks (for example, Book a Demo, WhatsApp, sending the contact form, or opening the chat with our AI host).

We use Google Analytics 4, a Google service, to understand how visitors use our website — for example, the pages viewed, how long you stay, your device and browser type, your approximate location (city/country level), and the site that referred you here. We also use it to see when a few specific actions happen: pressing the "Meet Our AI Host" button, tapping our WhatsApp or phone links, and a contact or quote form being sent. Google Analytics never receives what you type into our forms — not your name, phone number, email, or message.

Google Analytics sets first-party cookies (_ga, _ga_72KVXRDYVD) to recognise repeat visits, and does not log or store your full IP address. We have switched off Google signals and ad personalisation: we do not use this data for advertising, and we do not share it for advertising. We do not use advertising or retargeting cookies. You can opt out using Google's browser add-on (tools.google.com/dlpage/gaoptout (opens in a new tab)), or by blocking or deleting cookies in your browser settings — the site works the same without them.

The chat also keeps a random visitor ID in your browser's local storage (not a cookie) so that if you return, your conversation can continue. It sends the page address, the referring page, and any campaign (UTM) tags along with your conversation.

Data Retention

We keep the information you submit through our website forms for as long as needed to handle your enquiry, and [TBC: retention period after the enquiry is closed].

Face recognition data is [TBC: default retention period if no "forget me" request is made — e.g., deleted after each session, or kept for a set number of days].

Chat transcripts are kept for [TBC: retention period for chat transcripts].

Your Choices and Rights

You can ask us to:

  • Be forgotten — if you have interacted with face recognition on one of our devices, you can ask us to delete any related data at any time.
  • Access the personal data we hold about you.
  • Correct inaccurate data.
  • Delete your data, subject to any legal retention requirements.

To exercise any of these rights, contact us at Hello@faceos.io. We aim to respond within [TBC: response timeframe, e.g. 30 days].

These rights are consistent with the UAE's Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (PDPL). [TBC: confirm with legal whether any additional PDPL disclosures — e.g. a named Data Protection Officer or regulator contact — are required before publishing.]

Changes to This Policy

We may update this policy from time to time. The date at the top shows when it was last revised.
